The Personal Details area of Massachusetts HR/CMS Employee Self-Service is where employees can review and update several pieces of information associated with their employee record. Current Commonwealth guidance identifies addresses, contact details, emergency contacts, preferred first name and several voluntary self-identification fields among the information available through this section.
It is important to distinguish this from payroll or account settings. Your phone number or home address may influence other HR processes, but Personal Details is specifically concerned with information attached to the employee profile.

What Is Inside the Personal Details Tile?
The current HR/CMS navigation reference lists multiple areas within Personal Details, including:
- Addresses;
- Additional Information;
- Contact Details;
- Disability;
- Emergency Contacts;
- Ethnic Groups;
- Gender Identity;
- Health and Safety;
- Name;
- Talent Profile;
- Telework Form.
Not every field operates in the same way.
Some information can be edited directly through Employee Self-Service. Other information may be view-only or may require an HR process outside the standard Personal Details screen.
That difference is one reason it is better to understand what a field represents before assuming that every employee record can be edited directly.
Updating Your Home or Mailing Address
Massachusetts guidance allows active employees to review, add or edit home and mailing addresses through Employee Self-Service.
The distinction between the two address types matters.
The Commonwealth notes that the home address is used on an employee’s pay advice and year-end W-2 and may also be used for annual W-2 mailings.
An employee who moves therefore has more than a cosmetic reason to keep HR/CMS current.
A stale home address can create problems when payroll or tax information depends on the address stored in the employee record.
The current guidance also notes that a home address cannot be outside the United States, while a mailing address can serve a different purpose.
Phone Numbers and Email Addresses
Employees can use Contact Details to review and update certain telephone numbers and email information.
The Commonwealth’s current quick reference emphasizes the importance of maintaining correct contact information and notes a significant limitation: the business email field is locked, and changes to it must be handled through Human Resources rather than directly by the employee.
That is an important distinction when troubleshooting.
If you can update a mobile number but cannot edit your business email, this does not necessarily mean HR/CMS is malfunctioning. The fields have different ownership rules.
Why Your Mobile Number Can Affect Direct Deposit
Personal Details and Payroll are separate areas, but they are not completely independent.
Massachusetts guidance for online direct-deposit changes says employees need appropriate contact information in HR/CMS, including a mobile number capable of receiving text messages and an email address in the relevant employee data.
This creates a useful diagnostic path.
If you can reach Payroll but cannot complete a direct-deposit update, your first question should not necessarily be whether the Payroll tile is broken.

Emergency Contacts
HR/CMS allows employees to maintain emergency-contact records separately from their own contact information.
Current Commonwealth instructions describe functions to:
- add an emergency contact;
- update an existing contact;
- remove a contact;
- identify a preferred or primary contact;
- maintain addresses and phone numbers associated with that person.
The distinction between employee contact information and emergency-contact information matters because changing your own phone number does not automatically mean every related contact record has also been reviewed.
Preferred First Name
Employees can also maintain a preferred first name through the Name function in Personal Details.
Massachusetts guidance distinguishes a preferred or chosen first name from an employee’s legal first name. Employees can add, update or remove a preferred first name through Employee Self-Service.
However, a preferred-name update does not automatically replace the legal name used everywhere.
Current Commonwealth documentation specifically notes that adding a preferred name does not change the name on payroll checks, tax forms or W-2 documents. It also explains that other systems, such as the Commonwealth Global Address Book, may require a separate update process.
That is a good example of how HR/CMS interacts with other systems without controlling every one of them.
Some Information Can Be Changed Through Other Processes
Not every employee-data change belongs entirely inside Employee Self-Service.
Massachusetts maintains separate guidance for Employee Self-Service and E-Forms and recommends beginning with Employee Self-Service when a supported change can be completed there. Other changes may require documentation or an HR workflow.
This distinction prevents a common mistake: assuming that if HR/CMS displays information, HR/CMS must also provide a button for changing it.
The system can display data whose authoritative change process lives somewhere else.
Personal Information and Employee Privacy
Some Personal Details fields involve information employees may reasonably consider sensitive.
Commonwealth guidance states that several self-identification categories are voluntary, and that access to confidential self-identification information is restricted to authorized HR users.
For an independent website, that creates a clear boundary.
You should never need to provide [PUBLICATION NAME] with:
- your home address;
- personal telephone number;
- employee ID;
- Social Security number;
- emergency-contact details;
- disability information;
- gender-identity information;
- HR/CMS credentials.
Changes should be made through the official Employee Self-Service environment or the responsible HR organization.
When You Need HR Instead of Self-Service
A useful rule is to separate editable self-service data from HR-controlled data.
If HR/CMS clearly provides an edit function for the field, you may be able to handle the update yourself.
If a field is locked, requires supporting documentation or reflects a legal employment record, your agency HR department or the MassHR Employee Service Center may need to become involved.
Employees at agencies supported by the Employee Service Center can use the ESC for personal-information questions. Employees whose agencies do not use the ESC are directed by Commonwealth guidance to their agency Human Resources or Payroll Department.
Why Keeping HR/CMS Personal Details Current Matters
HR/CMS Personal Details is not merely an employee directory.
Information stored there can interact with payroll, tax-document delivery, authentication processes and other Commonwealth systems.
Keeping the record accurate makes those neighboring processes less likely to fail for reasons that initially look unrelated.
The key is knowing which information an employee can maintain directly and which changes still require HR involvement.
